Problem

To ensure that legacy giving procedures were in alignment with the new data protection requirements, and both the legacy administration and promotions the team were trained and supported to handle legacy data according to new best practice standards we were asked to help.

This was during a time of transition for the legacy team, so Legacy Link were able to provide extra capacity and a clear understanding of how data protection and the GDPR would impact legacy administration.

Solution

Paul Browne delivered an introductory presentation to the legacy administration and marketing teams, to ensure there was a shared understanding of the data protection changes, and to build a shared sense of ownership and co-operation for the project.

Paul then continued to carry out an audit of existing team and relevant organisation processes, and created a practical action plan with clear responsibility for prioritised action points and deadlines.

Naomi Orrey took over from Paul to implement the required changes, and worked onsite at the charity for a period of 4 months to ensure the legacy administration function would be working towards and achieving GDPR compliance.

Establishing good communication across teams was an essential part of the success of this project, and Naomi successfully brought together the legacy promotions, heads of team and department, IT, records and archives, external and internal legal advice and DPO.

Naomi then developed a detailed GDPR guidance manual to ensure a central resource for all policies and processes, and worked with the teams to ensure they were fully trained and understood the new data protection requirements.

What was the outcome?

  • Increased the understanding of data processing within the legacy team and the wider organisation
  • Increased cross-team and cross-department working
  • Focused resource to enable interim Head of Legacy Administration to continue business as usual activity
  • Provided clear guidance and process for the team to follow and for training new team members, including clear reporting lines
  • Provided documentation to assist demonstration of accountability
  • Increased the team confidence which resulted in a positive approach to GDPR as a means of protecting people and their data, and the reputation of the organisation

Now that Naomi has officially finished with us, I just wanted to reiterate what a fantastic job she’s done during her time at the National Trust. Helen and I have both found her an absolute joy to work with, and can’t praise the standard of her work highly enough.
